SUMMARY/OBJECTIVE OF ROLE:
The Project Administrator provides high-level administrative support by managing day-to-day operations, coordinating schedules, preparing reports, and facilitating communication within and outside the organization. execution across various Nevada Projects departments while mainly supporting the Vice President of Nevada Projects.
Role accountabilities:
- Provides administrative support across several tasks. This will include coordination of project information, to prepare detailed reports, charts, budgets, and other project-based presentation material for the Vice President of Nevada Projects.
- Assist with expense claims, Barclay Visa cards etc.
- Manage the Vice President’s calendar and/or internal mail, email as requested and needed.
- Maintain, track and replace office supplies (e.g. kitchen supplies, copier paper, ink/toner etc.) as necessary to avoid interruptions in standard front office procedures.
- Greet and welcome visitors in a professional and friendly manner, ensuring a positive first impression of the organization.
- Manage letters, packages, phone calls or other forms of correspondence in the Las Vegas office.
- Maintain a structured filing system, electronic and/or paper based that promotes control and easy retrieval of documentation for the Nevada Projects Vice President.
- Responsible for ordering catering services and assisting with any needs associated with meetings in the Las Vegas office.
- Coordinate company carpool fleet operations, including scheduling, vehicle maintenance (as requested), commuting assignments, and audit to ensure compliance is being followed while using the vehicle.
- Process invoices, prepare SAP requisition and service entries as required by for the Nevada Projects Vice President or the Las Vegas office.
- Scheduling workplace inspections, ensuring first ad and other equipment is audited in line and assist with emergency evacuation procedures as needed.
- Simultaneously support various departments to ensure smooth day-to-day operations.
- Schedules and coordinate local travel arrangements for Project Team staff aligned to AGA Travel Policy.

Education & Qualifications:
- Associate’s degree in business administration, Office Management a plus.
- Three (3) to Five (5) years of administrative or executive support experience preferably in mining, industrial or construction setting.
- Proficiency in Microsoft Office Suite, including presentations, spreadsheets and other database management skills.
Required General Knowledge & Experience:
- Knowledge of Travel and expense management.
- Balance conflicting demands and deadline with a high level of accuracy and professionalism.
Legal Requirements:
- Uphold confidentiality and handle sensitive information with discretion.
- Must have valid Driver’s License to commute to/from Nevada Projects or other areas as needed.
CONDITIONS OF EMPLOYMENT:
This is a full-time position. Days and hours of work are typically Monday through Friday, 8:00am to 4:00 pm. Evening and weekend work may be required as job duties demand. As per operational requirements.
COMPENSATION:
Base Salary Range $26.44 - $36.05 per hour
