SUMMARY/OBJECTIVE OF ROLE:

To set up and provide engineering and technical document control for Engineering Studies and Projects and ensure adherence to engineering guidelines and standards. Specializes in managing technical documents within engineering and related fields. This role supports the consistent workflow, management, accessibility, and traceability of controlled documents throughout the project lifecycle in coordination with the EPCM contractor and the Owner’s team.

 

Role accountabilities:

 

  • Design, configure, and maintain project specific electronic documentation libraries and data repositories.
  • Set up workflows for management of engineering drawings through their respective lifecycle and report on outstanding hold points to keep engineering and project managers aware of document or drawing status. (align with EPCM)
    • Should be placed under technical skills and knowledge. Place under technical skills and knowledge Handling blueprints, schematics, technical drawings, specifications, and other engineering-related documentation.
  • Work with BOMs (Bill of Materials), product specifications, and changes to design processes.
  • Provide document control support and assistance to project teams across the Nevada Projects.
  • Receive, log, track, and distribute incoming and outgoing documents, ensuring proper version control and traceability.
  • Develops meta data standards for engineering and technical documents for future search and access
  • Liaise with project stakeholders and service providers to align delivery of effective and efficient project document management and collaboration support.
  • Provide an information service from the information base, identifying documents required, compiling and performing search strategies, and supplying the right information at the right time.
  • Facilitate access to project and engineering information for the project participants and stakeholders.
  • Ensure documents are set up to support “as built documents” in a manner that they are easily accessible and reusable for long term operational use.
  • Contribute to the continuous improvement of the Document management system within the Nevada Projects.
  • Assist in designing and maintaining the document control plan for the Nevada Projects.
  • Monitor workflows and all document control processes, undertake document audits, and ensure any non-conformance is identified and addressed.
  • Generate regular reports on document status, outstanding actions, and workflow performance.
  • Engaging with internal stakeholders to align on project and capital management processes.
  • Follow up to key stakeholders (e.g Process, Engineering, Mining, Procurement, Sustainability and Permitting) to source information on time for reporting.
  • Ensure handover of information and archiving of project documentation as appropriate at project stage close-out.
  • Collaborate with cross-functional stakeholders, including engineering, environmental, and other support groups to ensure documentation standardization is consistent across the Nevada Projects.
  • Provide project document control training for project team members.

 

Technical Skills and Knowledge:

 

  • Proficient in Aconex and share point document management system.
  • Proficient in Microsoft Office suite of programs.
  • Microsoft Adobe Acrobat (for combining, redacting, commenting on PDFs).
  • Understanding of document retention schedules and legal compliance.
  • Document formatting, scanning, indexing to ensure consistent documentation is being performed.
  • Technical skills for drawing office documents & basic understanding of associated software.

 

Education & Qualifications:

 

  • Associate Degrees in Business, related field or one year (1) of related work experience in documentation coordination, records management.
  • Strong working knowledge of document control systems and tools (e.g. SharePoint, Aconex, Procore, Documentum, Viva Engage).
  • Relevant training in document management systems and processes.

 

Required General Knowledge & Experience:

 

  • Experience working in a project management office or major project team within the mining industry as a document controller.
  • Excellent organizational skills with the ability to multitask and prioritize to a high standard of accuracy and professionalism.
  • Excellent written and verbal communication skills.
  • Demonstrated capability and willingness to explore and embrace different cultures.
  • Familiarity with internationally accepted project management and control principles.
  • Have a mindset for continuous improvement. 

 

Legal Requirements:

 

  • Must have valid Driver’s License to commute to/from Nevada Projects or other areas as needed.

 

CONDITIONS OF EMPLOYMENT:

 

This is a full-time non-exempt position. Days and hours of work are typically Monday through Friday or as directed by the supervisor to include travel to and from the Beatty, Nevada site or other areas as needed.  Evening and weekend work may be required as job duties demand.  As per operational requirements.

 

COMPENSATION:

 

Base Salary Range $30.00 - $40.00 per hour
