The Office Administrator will manage the day-to-day operations of our Vancouver, Canada office. This role is central to ensuring a professional, efficient, and welcoming work environment while providing administrative, travel, and event support to employees and visiting staff. The ideal candidate thrives in a fast-paced setting, can juggle multiple priorities, and maintains a high level of accuracy and confidentiality.
Key Responsibilities
Office Operations & Administration
- Manage daily office operations, ensuring a well-organized and fully functional workspace
- Act as the primary point of contact: greet visitors, answer phones, and handle incoming mail and shipments
- Maintain office supplies, coordinate printing needs, and oversee general administrative services
- Support procurement processes, including purchase requisitions
- Assist HR with new employee onboarding and office orientation
Meetings, Events & Coordination
- Coordinate on-site and off-site meetings, including room setup, logistics, and catering
- Plan and support special events and team gatherings
- Prepare correspondence, reports, and presentations, including handling confidential materials
Travel & Visitor Support
- Coordinate travel arrangements in line with company policy
- Manage accommodations, transportation, and logistics for visiting staff
- Maintain vendor relationships related to travel and office services
Facilities & Maintenance
- Ensure office facilities are maintained, safe, and fully operational
- Coordinate maintenance requests and vendor services
- Communicate any disruptions or planned maintenance to the leadership team
- Support emergency procedures, including evacuation coordination
Qualifications
- Education: High school diploma or GED
- Experience: Minimum 1+ year of office administration or support experience
- Working knowledge of travel and expense coordination
- Strong organizational, multitasking, and time-management skills
- Excellent verbal and written communication skills
- Ability to work independently and adapt to changing priorities
- High attention to detail and commitment to confidentiality
- Valid Canadian driver’s license
