SUMMARY/OBJECTIVE OF ROLE:

 

The Specialist, HR System role facilitates the effective implementation and governance of the SuccessFactors HR system across AGA with a specific focus on recruiting and onboarding processes. This role ensures that system functionalities are optimized, system updates are timely, and user experiences are enhanced. This role is integral to AGA's Talent Acquisition strategy enablement through the effective adoption of SuccessFactors recruiting and onboarding processes. This role collaborates with Regional HR teams and Global Process Owners to standardize and embed global recruiting and onboarding solutions to help candidates and employees realize AGA's People Value Proposition.

 

Role accountabilities:

 

Key responsibilities include training, project delivery support, and HR data and system governance within the region.

  • Solution Enablement, Training, & Project Delivery Support: Lead training sessions and provide project support, ensuring effective implementation and user competency.
  • Data & Organization Structure & Position Structure Governance: Govern the integrity and accuracy of AGA applicant tracking system data and structural configurations.
  • SOX Audit Support: Assist in compliance audits, ensuring adherence to Sarbanes-Oxley Act requirements within HR systems and global applicant data retention policies.
  • Recruiting and Onboarding Process Workflow Governance: Oversee and refine recruitment and onboarding workflows, ensuring alignment with global standards.
  • End User Experience: Optimize and maintain the user interface to enhance user interaction with HR systems.
  • Routine Checks: Conduct regular health checks and diagnostics on SuccessFactors to ensure full functionality.
  • Data Integrity: Lead data clean-ups and validate data to ensure accuracy and adherence to audit controls.
  • Document Changes: Keep detailed logs of system updates and maintain user guides on the SharePoint Knowledge Base.
  • Roadmap Creation: Collaborate with HR System Product Owners and Global Process Owners to create a roadmap that aligns with Regional strategic objectives.
  • User-Centric Design: Advocate for user-friendly design in solution development to improve system usability and accessibility.

 

REQUIRED CAPABILITIES:

   

     KNOWLEDGE

 

  • HR Systems Knowledge: Deep understanding of HR information systems, especially SuccessFactors, including their architecture, functionality, and best practices for use and customization.
  • Data Integrity Practices: Knowledge of best practices in data management, including data validation, auditing, cleanup, and security measures to ensure the accuracy and confidentiality of HR data.
  • Regulatory Compliance: Familiarity with local and regional HR regulations, data protection laws (such as GDPR), and compliance requirements that affect HR data management and system operations.
  • Applicant Tracking System Integration: Understanding of how applicant tracking systems integrate with other HR and business systems (like payroll, benefits administration, and ERP systems) to ensure seamless data flow and maintain system efficiency.
  • Change Management: Knowledge of change management principles and methodologies applicable to system upgrades, implementations, and user adoption strategies.
  • Technical Troubleshooting: Basic technical troubleshooting skills for HR systems, including diagnosing issues, resolving user access problems, and coordinating with IT support when necessary.
  • Project Management Principles: Familiarity with project management concepts, including planning, resource allocation, milestone tracking, and delivering projects within time and budget constraints.

  • HR Information Systems Proficiency: Expertise in using HRIS software, particularly SuccessFactors, to manage data and system operations efficiently.

  • Training and Development: Competence in designing and delivering effective training sessions for system users to ensure they are proficient in using new tools and features.
  • Adaptability and Flexibility: Ability to adapt to new technologies and changes in the HR tech landscape, along with the flexibility to manage multiple tasks simultaneously.
  • Stakeholder Management: Skills in managing relationships with both internal stakeholders and external vendors to ensure collaborative and cohesive system management and upgrades.

 

REQUIRED EDUCATION:

  • Minimum Bachelor’s Degree (Systems and Data Management) preferred, or an appropriate Diploma, SuccessFactors Certification / commensurate years of experience in a related role.

 

REQUIRED GENERAL KNOWLEDGE & EXPERIENCE:

  • SuccessFactors Recruiting and Onboarding implementation/support experience.
  • Minimum of 5 years of progressive experience in a tech savy HRIS role.

 

CONDITIONS OF EMPLOYMENT:

 

This is a full-time position.  Days and hours of work are typically Monday through Friday, 8:00am to 5pm. Evening and weekend work may be required as job duties demand. As per operational requirements.

 

COMPENSATION:

Base Salary Range $120,000 - $140,000
