The AGA Africa Business Unit is seeking experienced and self-motivated persons to join our team.

 

The Opportunity 

 

To manage, maintain, and ensure the accuracy, accessibility, and security of project documentation for medium and large projects in the 
Africa Business Unit (ABU) Project. The role holder ensures that all project documents—such as contracts, drawings, specifications, and 
reports—are up to date, properly filed, and accessible to all relevant stakeholders.

Additionally, advising on all relevant construction projects undertaken by the Mines in the Business Unit to ensure compliance with OHSAS 
18001 and ISO 14001 Implementation principles within the area of accountability for both permanent and contract employees. The 
reporting structure is expected to change when preparing for construction phase with possible integration with the Africa Projects BU

 


Accountabilities

 

  • Governance, technical due diligence and support to capital projects to ensure the compliance of all relevant AGA’s standards.
  • Ensure the health and safety of all personnel associated with the projects.
  • Gather, organize, and manage all technical documents related to the project, including engineering drawings, geotechnical reports, 
    mining permits, equipment manuals, contracts, and safety protocols.
  • Maintain a centralized electronic or physical document management system (DMS) for storing all project documentation, ensuring 
    all documents are stored logically and accessibly.
  • Implement and manage a rigorous version control system to track revisions of critical documents, ensuring that all team members 
    are using the most up-to-date versions of technical drawings, plans, or reports.
  • Manage design review documentation and update relevant registers.
  • Implement and manage strict access controls to ensure that only authorized personnel can access specific types of documents, 
    especially sensitive documents like contracts, licenses, and proprietary information.
  • Ensure timely distribution of relevant documents to internal teams, contractors, and stakeholders. This includes ensuring all parties 
    have access to the latest approved versions of technical documents and project plans.
  • Implement and manage a document archiving system, ensuring that all project documentation is appropriately archived after the 
    project’s completion and remains accessible for future reference.
  • Ensure all aspects of commercial, legal, and financial corporate governance are implemented in accordance with AGA standards.
  • Support the implementation of site initiatives such as fatigue management, Diversity & Inclusion, wellness programmes and 
    mentorship Programme, etc.
  • Identify and report compliance violations and assist with investigations.
  • Build capacity of team members on compliance related matters (e.g., communications regarding bribery/corruption, ethics, conflicts 
    of interest, gifts, etc.).
  • Produce project documentation and project progress reports, create project charters, scope documents, management of schedules and the basis of schedule documents

Qualifications

  • Bachelor’s degree in business or computer science or equivalent combination of education and experience.

 

Experiences

  • At least 3 years relevant experience in administration, filling contracts.
  • Strong interpersonal, influencing, and communication skills.
  • Ability to take a business perspective in managing multiple competing priorities and reconciling these with the project’s strategic 
    priorities.
  • Demonstrated capability in organising work, setting priorities, and exercising sound independent judgement.
