SUMMARY/OBJECTIVE OF ROLE:
Office Administrative functions: Manage daily operation of Beatty Project office and coordinate all office services and activities.
Provide administrative support to Beatty office Staff and visiting employees. Coordinates schedules and travel, and prepares confidential correspondence, periodic reports, and presentations. Event coordinator for on and off-site meetings and special events.
Position requires excellent communication skills to effectively interact within all levels of the organization as well as with outside contacts. Must be detailed oriented with highly developed organizational skills. Must be able to work independently, can multi-task and handle changing priorities with a high degree of accuracy and confidentiality.
ACCOUNTABILITIES:
General Administration Support
- Provide a professional and efficient administrative service.
- Upkeep of Beatty office with supplies.
- Act as Beatty office receptionist – answering phones, greeting guests.
- Assist with print projects and handle daily mail & shipping services.
- Assist with creating purchase requisitions & procurement process.
- Responsible for ordering catering services and assisting with any needs associated with meetings.
- Maintain good relationships with area vendors that AGANA interacts with.
- Assist with emergency evacuation procedures when required.
- Assist HR with new employee onboarding.
General office Maintenance
- To ensure all facilities across the office are maintained and functioning.
- Log any maintenance requests for the office with fixed maintenance or associated vendor.
- Notify Management Team of any maintenance works that may cause a disruption or delay to work environment.
- Arrange for maintenance work to be completed via selected group of contractors.
- Formalize all planned maintenance requirements for initiative-taking maintenance planning of all assets.
Travel
- Coordinate local travel arrangements for Project Team staff aligned to AGA Travel Policy.
- Manage local agreements for accommodation, transfers, and associated requirements to support visitors into Beatty.
Technical skills and Knowledge:
- Demonstrated capability in organizing work, setting priorities, and exercising sound independent judgement.
- Excellent Communication skills

- Advanced word processing, spreadsheet, presentation, and database management (Microsoft Office).

EDUCATION & QUALIFICATIONS:
- High School Diploma or GED.
- US Driver’s License.
REQUIRED GENERAL KNOWLEDGE & EXPERIENCE:
- Minimum 1 year experience support and/or office management.
- Knowledge of Travel and expense management.
CONDITIONS OF EMPLOYMENT:
This is a full-time position. Days and hours of work are typically Monday through Thursday 6:00am to 4pm. On-call evening and weekend work may be required as job duties demand. As per operational requirements.
COMPENSATION:
Base Salary Range $21.00 -$27.00
